Booking Terms


The Contract for a short-term holiday rental shall be made between the Client and Nightingales Farm. The contract shall be governed by UK Law. It will be entered into when the deposit is processed and Nightingales Farm issues the confirmation letter.  By making a reservation you are deemed to have accepted our terms and conditions. The Contract will be subject to the following booking conditions.


The Client making the booking agrees that they are authorised to make this booking on behalf of all persons who shall be renting the property and agrees to take full responsibility for the property and the payment of any rental fees or damages.

Booking Deposit

A deposit of 25% of the rental fee is payable if the booking is made more than 8 weeks before the commencement of the rental. The balance must be paid in full eight weeks before the commencement of the rental and is to be paid by Bank Transfer or by PayPal. Account details will be provided at the time of your enquiry / booking. Please be aware the full balance is due 12 weeks before on all Christmas and New Year weekly bookings. Non-payment of the balance of the rental on or before the due date shall be construed as a cancellation of the contract by the Client and any deposit payments made not refunded. For bookings made less than eight weeks before the commencement of the rental, the total rental fee is payable at the time of booking.

Security Deposit

A £100 security deposit will be added to the booking cost and is fully refundable except for any costs due to breakage, damage, missing items or where excessive cleaning is required. It will be returned to you within two weeks of your departure. Please be aware that for Christmas and New Year booking this is security deposit is extended to £200.


Our prices are inclusive and quoted in Pounds GB (not currently VAT registered). Payments can be made by Bank Transfer, Cheque or by PayPal. All cheques must be made payable to Mr I R Lock and can only be accepted if received not less than two weeks before the commencement of the rental.


Any cancellation made by the Client for whatever reason must be in writing. Once the booking has been confirmed the deposit becomes non-refundable. For cancellations made 6-8 week prior to the arrival date, 50% of the total rental fee will be payable, for cancellations made 4-6 weeks prior to the arrival date, 70% of the total rental fee will be payable, for cancellations made less than 4 weeks prior to the arrival date 100% of the total rental fee will be payable.  We strongly recommend that the Client takes out insurance against cancellation.

Period of Hire

The prices quoted are per week on a self-catering basis, short breaks are dependent on availability. Weekly rates apply from Friday at 4.00pm to the following Friday at 10.00am or Monday at 4.00pm to the following Monday at 10.00am.  Short breaks are for 4 days midweek starting on Monday at 4.00pm to the following Friday at 10.00am or weekend starting on Friday at 4.00pm to the following Monday at 10.00am. Periods of longer than a week can be booked if arriving and departing on a Monday or Friday.

Advertised Facilities

Not all items, equipment and facilities advertised may be available at all times due to breakdown, malfunction, or other reasons. We will try to rectify any malfunctions as soon as possible but no refund of any or all of the money paid by the customer will be made.

Occupation of the Lodges

The number of persons occupying the property must not exceed the maximum number of Four + 1. We reserve the right to refuse entry to the entire party if this condition is not observed.  The accommodation must not be sub-let


Rental charges include bed linen and towels for use during your stay. Beds will be made up prior to your arrival and for bookings of more than one week linen and towels will be changed at the end of each week. Electricity, oil, water and your first supply of logs are included within the rental charge.

Care of the Property

The Client shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and in the same clean and tidy condition at the end of the rental period as was found at the beginning. No candles are to be used in The Cart Lodge or decking area. No furniture or bedding, are to be moved from The Cart Lodge with the exception of plates and cutlery when dining outside.

Fixtures & Fittings

All fixtures, fittings and equipment must be used solely for their intended purpose. We request that you do not take any portable heaters, lighting equipment or any items that may cause danger to The Cart Lodge, its equipment or its occupants. Any bulky items such as bicycles, fishing or golf equipment are not to be taken into The Cart Lodge; outside storage is provided.


We endeavour to ensure that everything is to your satisfaction during your stay. Should there be any cause for complaint during the occupation of the property, we must be notified promptly and in the case of a serious problem confirmed in writing.


Following Government legislation The Cart Lodge operates a no smoking policy though we have provided a designated area at the rear of the garden.


A BBQ is available free of charge from April 1st to October 31st and would request that the BBQ is left as it is found. We are able to provide fuel at £8.00 per bag should you forget to bring some


Only those persons notified are entitled to occupy The Cart Lodge. If you receive visitors during your stay who are not resident you must inform us of their visit and you will be held responsible for their behaviour while they are on the site.


The Cart Lodge at Nightingales Farm operates a no pets policy.


There are many conversation areas surrounding the The Cart Lodge and Nightingales Farm and therefore respect for the wildlife is to be upheld at all times. Anybody seen or reported to be causing distress to any wildlife or flora & fauna will be asked to leave immediately without refund of money paid

Late Arrivals

We ask that you inform us of your planned arrival time. You must inform The Suffolk Escape Ltd if your arrival time changes substantially. If you are liable to arrive after 19:30 we will arrange for a Key to be left in the Key Safe and notify you on the security code
access to your lodge.


Parking of vehicles must be in the designated car parking space and must not obstruct the drive or roadway.  Your vehicles, their accessories and contents are left entirely at your risk. We will not be responsible for any loss or damage from or to any vehicle. Repairs to vehicles (except emergency repairs) must not be carried out.


We cannot accept liability for any damage; expense, injury, death or loss of any nature whatsoever suffered by any person(s) from any cause other than the proven negligence of us. You must take all necessary steps to safeguard your personal property and no liability to you is accepted in respect of damage to or loss of such property.

Force Majeure

We cannot accept responsibility or pay compensation where the performance of our contract with you is prevented or affected by reason of circumstances which amount to force majeure. These circumstances include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage (including a period of electricity failure), break-in, criminal damage, riots or civil strife, natural or nuclear disaster, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.

Right of Entry

We will not normally enter a lodge once let without your agreement however we shall be allowed the right of entry to the property at all reasonable times for purposes of inspection, for change over of linens and towels should your stay be in access of 1 week or to carry out any necessary repairs or maintenance.

 Lost Property

A minimum charge of £10 is made for the return of lost property after your departure. Items of lost property can only be held for a maximum of one month after which time they are donated to charity. We cannot be held responsible for items reported lost which cannot be found. Property is at all times the responsibility of the owner.


Protecting your privacy is important to us and we will strive to keep your personal information confidential. Your details will be kept on our database to enable us to keep you up to date with any future offers, information or mailings. We do not give any information to third parties or use information gathered in any other way than those described above. If required by law or legal process to disclose your personal information we will do only in accordance with the law.

Terms and Conditions

We reserve the right to change or amend these terms and conditions at any time.
Please Note: We reserve the right to terminate the agreement / booking without refund of money if the behaviour of any guest behaviour is considered unacceptable, or if the number of occupants exceeds that stated at the time of booking.

Our booking fee DOES NOT include holiday insurance. We therefore recommend that you take out Holiday Cancellation Insurance to cover you in the event that you have to cancel or terminate your holiday unexpectedly.
